Acceptance of our Terms and Conditions
By making a reservation through our website, email, or at our agency, you acknowledge and accept these terms and conditions. Any use of our services will be considered acceptance of this agreement.
Modification of these Terms
Quillabamba Travel reserves the right to update or modify these terms of use without prior notice. It is the client's responsibility to regularly review our terms and conditions to stay informed of any changes.
Booking Confirmation
After a client makes a booking request, confirmation is subject to verification of payment as requested. It will specify all included and excluded services. If no explicit response or objection is received from the client following our communication, it will be assumed that our terms and conditions have been accepted. Consequently, Quillabamba Travel is not responsible for any misunderstanding or unforeseen circumstances arising from this.

1. Bookings
Book your trip: You can book a trip with Quillabamba Travel by contacting us in Quillabamba – La Convención – Peru, via our WhatsApp number +51 914 974 185, or by email at info@quillabambatravel.com.
Bookings through the website: If you wish to book through our website, please make sure to provide all the details in our contact forms. Once received, our sales assistant will contact you to follow up on the booking process personally.
Note: Your trip is considered 100% confirmed only after you have received a receipt or written confirmation from Quillabamba Travel.
2. Booking Policies
Initial deposit: To secure a booking with Quillabamba Travel, clients must make a non-refundable deposit (the deposit amount will vary depending on the itinerary booked by the client). This deposit can be paid by credit card, BCP bank transfer, or the YAPE app. Once the booking process has begun, it is assumed that the client has carefully reviewed and accepted Quillabamba Travel's terms and conditions.
Booking confirmation: The booking is confirmed and binding from the date on which Quillabamba Travel acknowledges receipt of the client's deposit. At this point, a binding contractual agreement is established between the client and Quillabamba Travel.
Shared responsibility: All persons named in the booking are jointly responsible for the agreement with Quillabamba Travel. The person who signs the contract is considered the representative of each person named in the booking. This means that all parties are informed of and agree to Quillabamba Travel's terms and conditions.
Information Required for the Booking
Once the transfer has been made, you will need to provide us with the following information so that we can send you your booking confirmation:
Full name of the account holder and ID document number.
Phone number and email address.
Proof of payment (voucher/receipt).
Arrival itinerary (arrival time or bus terminal) so we can schedule your pick-up.
3. Payment Policies
Accepted payment methods:
For initial deposits and final payments, we accept cash, BCP bank transfer, and Yape.
No traveler may begin the tour unless the payment has been settled in full.
Cash payments
Cash payments must be made at least 24 hours before the tour.
We only accept Peruvian soles for payment.
Bank fees:
Any associated bank fees or transaction charges are the client's responsibility.
4. Cancellation Policies
No monetary refunds will be granted for program cancellations. Refunds will only be considered in extraordinary cases, such as accidents or illnesses supported by a certificate or other proof document, in which case the company will apply a percentage penalty on the total amount paid by the client. In the event of issues such as road blockades, natural disasters, or other causes (other than flight itinerary changes) that prevent the trip from being completed, your prepaid booking may be rescheduled, taking into account any external penalties that may apply; the company is exempt from any type of refund or reimbursement.
On the company's part: The company reserves the right to make changes to the order of excursions or trips due to weather conditions, increased river flow, or any other relevant reason, with the aim of ensuring your safety and the best possible development of your tours.
5. Tour Policies – Schedules and Waiting Times for Transport, Tours, and Meals
The itinerary provided specifies the departure times for each tour selected by the client. The time intervals detailed in each program must be observed.
When the vehicle is waiting outside the hotel specified by the client, the guide may wait for the passenger for a maximum of 5 minutes. After this time, the company is not responsible and is exempt from any liability regarding refunds or changes to the program.
Transportation for each program is shared, and the random seat assignments must be respected.
Health and Safety on the Tour
At Quillabamba Travel S.A.C.S., we prioritize the well-being and safety of all our participants during every tourism experience.
If a traveler becomes ill or suffers an injury that prevents them from continuing the activity, a member of our team (assistant guide, porter, support staff, or other available staff member) will accompany them to a point where they can receive timely medical assistance.
Evacuation costs, including specialized transport or air evacuation, as well as medical treatment expenses, are the passenger's responsibility.
If an illness or incident prevents the tour from being completed, our team will do its best to help the passenger rejoin the group at a later point in the itinerary, whenever applicable and operationally possible. This process may involve additional charges.
No refunds are given for the original tour payment; however, we can issue a formal medical certificate so that the passenger can file a claim with their travel insurance.
Responsibilities and Obligations
At Quillabamba Travel S.A.C.S. we work with professional standards and highly trained staff to ensure the safety and satisfaction of our clients.
We are responsible for the actions of our direct staff, but not for third parties unrelated to the company.
Passengers must keep an eye on their personal belongings at all times.
We are not responsible for situations beyond our control, such as:
Adverse weather conditions
Natural disasters
Blockades or strikes
Unforeseen accidents
Health issues
Loss of personal belongings
We recommend obtaining comprehensive travel insurance that covers medical emergencies, evacuations, and other unforeseen contingencies.
We reserve the right to modify, reschedule, or cancel activities and programs due to external factors or unexpected conditions that compromise the safety of participants.
About Hotel + Tour Contracts
The check-in and check-out times of the selected hotel for the package must be respected, as well as the hotel's policies; otherwise, the guest will be responsible for any penalty imposed by the hotel. The room type and number of nights specified in the contract must be respected; any change or extension can be arranged through our company or directly with the hotel (at the hotel's published rates).
About Meals
The à la carte lunch paid for by the agency has a base price of S/ 25.00, with several options to choose from. The "homestyle" lunch is a regional dish assigned by the agency. Breakfast is complimentary and is only included with certain hotel options, depending on the hotel assigned in the contract. Dinners are not included under any circumstances, unless they were specifically included in your package as per your advance contract.
Program Modifications – By the Client
If the client decides to change the order or date of a previously assigned program, the following applies:
Full-day tours: The client must notify the company at least one day before the scheduled program; otherwise, no change or modification can be made.
Part-time (half-day) tours: The client must notify the company at least 3 hours before the scheduled program; otherwise, no change can be made.
Children's Policies
Unless otherwise stated, in all our programs children under 4 years old are exempt from any payment within the total package cost, and remain the responsibility of their parents throughout the program (they are not entitled to meals or a seat). Children 5 years and older are considered adults and will be subject to the standard adult rates applied by the company.
